How much does a DPP cost? Honest numbers for small and mid-size brands
Search for "DPP cost" and you will find everything from 350 EUR a year to 500 000 EUR per product. Both numbers are technically real - and both are useless without context. Here is an honest breakdown for a small or mid-size brand, with the three cost layers separated.
Why the quotes are all over the place
"The cost of a DPP" bundles three very different things:
- Software - creating, hosting and managing the passports.
- Data work - collecting composition, supplier and certificate data to fill them. Almost always the dominant cost, and almost never in the vendor quote.
- Extras you may not need - lifecycle assessments (LCA), consulting, supply-chain audits. Included by default in enterprise offers, priced accordingly.

Two structural notes. First, free tiers (3-10 products) are now standard at the entry level - trying before paying costs nothing. Second, watch the lock-in: with many vendors your QR codes stop resolving if you cancel the subscription. Printed products with dead codes are a real risk; ask about it before you commit.
Layer 2: the data work nobody quotes
EU pilot projects consistently find that mapping products to passport schemas is the main bottleneck, with error rates above 25% when data is assembled from scattered spreadsheets. For a small apparel brand the raw list is manageable - fibre composition, supplier identities, certificates, care data - but chasing it across suppliers takes weeks to months of somebody's part time. Realistic internal effort for a first-time setup with under 100 products: a few person-weeks, spread over a quarter. Start early and this costs almost nothing; start late and it becomes rush-fee consulting.
Layer 3: what you can skip (for now)
- Full LCA studies - footprint requirements will be defined per category in the delegated acts. Buying detailed lifecycle assessments before your act is final risks paying twice.
- Enterprise implementations - if a quote includes "workshops" and "integration phases" and you have 40 SKUs, you are shopping in the wrong aisle.
- Item-level serialisation - for textiles the recommended minimum is batch-level. One passport per batch, not per garment, cuts the volume math by orders of magnitude.
A realistic budget for a small brand
Putting it together for a brand with fewer than ~100 products entering the EU market: first year roughly 2 500-10 000 EUR all-in (tool subscription plus internal data work valued at cost), then 1 000-5 000 EUR a year to maintain. Done early and calmly, the lower end is achievable; done in panic mode after your delegated act lands, expect multiples of that.
The part that pays you back
A passport QR is also a marketing channel you were not billing for: care instructions that reduce returns, re-order links, brand story, warranty registration - reaching the customer at the exact moment they hold your product.
